Doxim Inc. and its wholly owned subsidiaries and affiliated entities (“Doxim”, “we”, “our”) collect and process personal information as described in this policy. We endeavor to comply with applicable data privacy laws in the jurisdictions in which we operate. This privacy policy is intended to help you understand collection, storage, use and processing of your personal information, whether you are a customer that purchases products or services from us (“Business Customer”), a customer of our Business Customer or an individual visiting this website for various purposes (including browsing our website, requesting research papers, or signing up to mailing lists).
By using the Doxim website, downloading or requesting content or accessing or using any of our products and services, you acknowledge you understand and agree to the terms in this Privacy Policy.

1. Information we collect
Personal information is information about an identifiable individual and may or may not include business contact information depending on your jurisdiction. Doxim collects the following personal information
- If you are a Business Customer or a prospective Business Customer, we may collect the following information from you:
- Contact and profile information: we may collect information such as your name, phone number, address, business information, e-mail address, and password when you use our website, Client Login Portal, Request a Demo, sign up for our mailing list or subscribe for updates or otherwise communicate with us online, by telephone or in person at an event or otherwise.
- Payment and transaction information: we collect information relating to the products and services you purchase from us including payment information such as credit card or banking details.
- Customers of our Business Customers: If you are a customer of any of our Business Customers, our Business Customers may provide your personal information to us so that we can provide our Business Customers with the products and services they have purchased from us. Our Business Customers must only provide Doxim with personal information that they have obtained in compliance with applicable privacy laws (such as, but not limited to, ensuring your informed consent is obtained for Doxim to provide the products and services our Business Customer purchased from us). The personal information we collect includes name, address and phone number, e-mail address, financial information, and other information the Business Customer provides to us on your behalf.
- Information Automatically Obtained Via Our Website. When you visit our website, if you only browse our website, Doxim and our third-party partners will automatically gather and store certain information about your visit as transmitted by your web browser that, on its own, may not be considered personal information.
- Social media information: When you interact with us through social media, such as when you Like Us on Facebook or share our content on Facebook, Twitter, Google+, LinkedIn, YouTube, or other sites you may provide us with personal information.
- Information provided to us by third parties: We may receive information (i) from our suppliers and vendors, resellers, marketing partners, and other business partners, or (ii) from other members of Business Customers.
- Requests, comments, and opinions: When you contact us online (including Doxim’s chatbot & live chat) or by phone, mail or in person, and when you make a request for information (such as eBooks or whitepapers) or provide comments or opinions to us we may record the information you provide to us including any personal information you provide.
- Other: We may collect and process personal information with your consent, when you apply for a job, browse our website anonymously (by collecting your IP Address along with other metadata) and as permitted by applicable law.
2. How and why, we use your personal information
We collect your personal information in order to:
- To provide products and services to Business Customers including to process payment for transactions:
- If you are a customer of our Business Customer and the Business Customer is providing your personal information to us in order for us to provide products and services to you and our Business Customer.
- When you sign up for an event in order to register you for the event and provide you with the event details.
- To manage our business relationship with you including by contacting you to provide you with information about our products and services and promotions, if permitted by law.
- To respond to inquiries (including responding to forms on our website that you fill out, downloading content such as eBooks, or if we respond to your requests via telephone, social media, or at in-person meetings).
- To understand how our websites are used in order to improve our websites and products and services based on information automatically collected (including to understand what is most useful to visitors, to learn about the number of visitors to our site and the frequency of visits, and to identify the types of technology our visitors use via our websites), as well as your feedback.
- To improve our marketing and promotional efforts and to statistically analyze usage of our products and services. We may use this information to conduct internal research on our users’ demographics, interests, and behavior to better understand and serve our users.
- When you provide us with your consent to use your personal information for any other purpose; and
- To create aggregated or de-identified information (that may not be considered personal).
3. Where is personal information stored?
Currently, we store your personal information in the U.S. and Canada. Depending on your location, your information may be transferred out of your local jurisdiction to one of these countries. In addition, we may use service providers who store, transfer, or process your personal information outside of the U.S. and Canada in other foreign jurisdictions. Your personal information may be accessible to law enforcement or other authorities in the U.S, Canada, or these foreign jurisdictions pursuant to various forms of legal process requesting information.
By submitting your information, you give consent for your personal information to be securely stored and processed in the locations stated above.
Should we change the location of our servers, we will notify subscribers and request your consent to process and store your data in the new location.
4. When and with whom do you share my personal information?
- With third parties, if we are negotiating an acquisition or corporate reorganization (but only to the extent such disclosure is required during such negotiations) or in the event of the sale of all or a portion of Doxim’s assets or business, Doxim may provide personal information to the third-party purchaser or prospective purchaser.
- With vendors and suppliers that support our business (including without limitation, cloud providers, marketing agencies, advertising networks, analytics service providers, IT and communication vendors, and consultants) who have agreed to comply with privacy and security obligations required by Doxim and its Business Customers.
- If permitted or required by applicable law, for example, to protect the safety of individuals or secure property or to provide information to law enforcement or regulatory agencies.
5. Who has access to your information?
- We will not sell, rent or in any way provide your information to a third party for any purpose unless we have your express permission, or it is required to perform our service
- We may transfer your personal information to a third party as part of a sale of some or all our business and assets, or as part of any business restructuring or reorganization. We will share your personal information if we are under a duty to disclose in order to comply with any legal obligation or to enforce or apply our terms of use or to protect the rights, property or safety of our employees or customers. However, under any circumstances, we will take all reasonable steps to procure that your privacy rights continue to be protected.
6. How long does Doxim keep personal information?
Doxim retains personal information as long as necessary for the fulfillment of Doxim’s identified purposes as outlined in this privacy policy, pursuant to our contract with Business Customers, for our business purposes or as necessary to comply with applicable laws, accounting, or regulatory requirements. Thereafter, Doxim will delete, destroy, erase, aggregate or make anonymous the applicable personal information in accordance with contractual obligations, for business purposes and as required by law.
7. Does Doxim use cookies or other web technologies?
Yes, Doxim uses temporary cookies when required, such as to complete a transaction, enhance the user experience when our online forms are used, for targeted advertisement, and in order to generate third party analytics. A “cookie” is a small text file that a website can place on your computer’s hard drive-in order, for example, to collect information about your activities on the site. The cookie transmits this information back to the website’s computer. If you want to know when a cookie is placed on your computer or to prevent it from happening, you can set your browser to address those situations.

8. Correcting Your Personal Information
Doxim may include links to other websites on the Internet that are owned, controlled by and/or operated by third parties (the “External Sites”). You acknowledge that Doxim is not responsible for the availability of, or the content, products, services, or materials located on or available through, any External Site or the External Site’s use of your personal information. The External Site privacy policy governs your access and use of that External Site. You should contact the External Site contact person if you have questions about any External Sites, including without limitation, the privacy practices of such sites.
9. Marketing Communications
If you agreed to receive marketing communications from us, you will receive marketing communications regarding our products, services, events, and other information. Except for service-related emails, you can unsubscribe from receiving such information by either using the unsubscribe link at the bottom of the email you receive or by sending an e-mail to [email protected]
10. Correcting Your Personal Information
Doxim takes reasonable steps to help ensure that personal information it receives, or collects is accurate, complete, and up to date. Doxim depends on you to update or correct the personal information you have provided to us directly or through our Business Customers or third-party providers. If a Business Customer is sending us your personal information on your behalf, please contact the Business Customer to update your information. If you provided us with inaccurate or incomplete personal information, Doxim will amend your information and notify any third parties as required by applicable laws. 11. Requesting Access to Your Personal Information
Since we are a vendor providing services to our Business Customers, subject to legal obligations, if you are an individual who has provided personal information to any of our Business Customers you should contact that business about the personal information you provided to that business.
Subject to legal and contractual restrictions, if you wish to exercise your right to portability (i.e. have your information returned to you in a usable format), please complete the Data Subject Request form here. Once the transfer has been completed, we will delete your personal information unless we are required to maintain records for compliance with the law.
You have the right to ask for a copy of the information we hold about you. If you have provided personal information to Doxim directly you can send us a written request to find out if Doxim holds personal information about you. If Doxim holds personal information about you, we will provide you with access to your information within a reasonable timeframe and at minimal or no cost in accordance with applicable laws (provided we are able to verify you are the individual that the personal information applies to). 12. Withdrawing Consent/Complaints
Subject to legal and contractual restrictions, if you wish to exercise your right to be forgotten (i.e. have all your information deleted from our system), right to restrict processing (i.e. limit the way that your data is used/processed) and your right to object to processing (i.e. stop usage/processing of your data) you may withdraw your consent to our further use of your personal information. Withdrawal of consent will not operate retroactively, and to the extent that your personal information is necessary for us to provide you with our products and services, withdrawal of consent may affect your ability to use such products and services.
We will remove your personal information from our systems, except where the deletion: (i) is prohibited by law; or (ii) involves residual or back-up data that is not technically feasible to return to Business Customer, provided that Doxim will destroy or delete such residual or back-up data in accordance with its standard backup retention policies.

13. Security
Your personal information is kept securely in line with physical, technical, and administrative security measures. However, the transmission of information via the Internet is not completely secure. Although we take reasonable measures to protect your personal information, we cannot guarantee the security of your information transmitted and any transmission is at your own risk.
In addition, if you have a password to access any Doxim services, you must keep your password secure and private to prevent unauthorized persons from accessing your account. 14. Minors
To protect the privacy of children who are considered minors, only individuals who are 18 and older are permitted to provide personal information via our website. We will not knowingly process or store information about minors, and any minors that do submit information to us, agree that they have the permission of a parent or guardian.
15. EU Citizens
Transferring your information outside of Europe
As part of the services offered to you through this website, the information which you provide to us may be transferred to countries outside the European Union (“EU”). By way of example, this may happen if any of our servers are from time to time located in a country outside of the EU. These countries may have different data protection laws than those in the EU. By submitting your personal data, you are agreeing to this transfer, storing, or processing. If we transfer your information outside of the EU in this way, we will take steps to ensure that appropriate security measures are taken with the aim of ensuring that your privacy rights continue to be protected as outlined in this Policy.
16. EU Citizens
We may modify or update this Privacy Policy from time to time to reflect the changes in our business and practices. You should review this Privacy Policy periodically to find out if it has been updated. You will be able to identify that it has been updated because we will update the “last modified” date at the bottom of this page when we post changes to this Policy. If you object to any of the changes, you may close your account or otherwise request withdrawal of your consent to our further use of your personal information, subject to legal or contractual restrictions.
